Send Import Spreadsheet to Headcount
After the spreadsheet has been updated, it is imported into the Headcount system via email.
Send Email with Spreadsheet Attached
- Open a new email message
- In the To: field add import@headcount.io
- Attach the spreadsheet you want to import
- (Optional) add a subject line and body - sometimes versions or notes are made here
- Send email
- Wait for validation results (~2 min)
This will send the import spreadsheet to Headcount’s automated system that will receive it, validate the data to prevent data corruption, and then update the emergency roster in the Headcount app.
Confirm Import Successful
Email notifications will be sent throughout the process:
- A receipt email is sent after the import request is received
- A validation email is sent with
- Errors - these are data issues that prevent an update to the emergency roster in the app. Each error will have the tab, row, and column of the spreadsheet that has the error along with a descriptive error message. These errors need to be fixed before an import will be accepted.
- Warnings - these are data points that can be cleaned up, but do not impact the data integrity within the app. Warnings do not prevent an import.
- Success - a summary of the successful changes to the emergency roster.
- Errors - these are data issues that prevent an update to the emergency roster in the app. Each error will have the tab, row, and column of the spreadsheet that has the error along with a descriptive error message. These errors need to be fixed before an import will be accepted.
- Go to the Admin > Employees screen to see your emergency roster inside of Headcount. If you had this screen open before your import, you may need to reload the page.
Import times vary depending on the size of the emergency roster.
Receipt messages are sent immediately, but validation results may take minutes or hours.
